As we advance our mission, we seek a dedicated Executive Assistant to provide comprehensive support to the President of PJM, who also fulfills the role of Executive Director of RVR. Role Overview

The Executive Assistant to the President is a central figure in ensuring the smooth operation of PJM's leadership activities. This role demands exceptional organizational, communication, and management skills, along with a deep commitment to the organization's Christian values. The ideal candidate will facilitate the President's effectiveness by managing a broad array of responsibilities, from administrative tasks to strategic project support, embodying the spirit of service and excellence that defines PJM. Given the dynamic nature of the executive landscape, this role requires flexibility and consistency while maintaining the confidentiality of high-level systems and operations.

Key Responsibilities:

  • Executive Support and Strategic Planning Assistance: Provide comprehensive support to the President and provide additional support to executive team members, as directed. Support includes managing correspondence, preparing reports, and supporting strategic planning efforts. Assist in gathering data and coordinating materials for strategic sessions and decision-making processes.

  • Board and Committee Meeting Management: Organize logistics for board meetings (8x per year) and various committee meetings, including scheduling and calendar management, as well as content and flow of information to executives, managing RSVPs, room setup, catering, minute taking, and documentation distribution.

  • Event and Retreat Coordination: Oversee the planning and execution of key organizational events, including RVR staff retreats, staff appreciation events, ensuring alignment with PJM's mission and goals.

  • Liaison and Communication: Serve as a communication bridge between the President and internal teams, external stakeholders, donors, and partners. Draft and disseminate communications on behalf of the President to maintain clear and effective channels.

  • Project Management: Lead or assist with special projects as directed by the President, ranging from organizational development initiatives to cross-functional team collaborations that support PJM's strategic objectives.

  • Donor Relations Support: Assist President in communications with donors, helping to foster and enhance relationships with key supporters of PJM.

  • Travel and Professional Development Coordination: Manage all aspects of travel for the President and coordinate professional development opportunities as needed, including conferences and workshops.

  • Administrative Duties and Document Management: Handle daily administrative tasks, manage the President’s calendar, including scheduling all meetings, and maintain a rigorous system for document management, ensuring compliance with retention policies.

Skills and Qualifications:

  • Proven experience in an executive support role reporting directly to upper management, preferably within a nonprofit or mission-driven environment.

  • Exceptional organizational and multitasking skills, with a strong attention to detail.

  • Excellent written and verbal communication abilities, with proficiency in Microsoft Office Suite.

  • Strong time-management skills with a demonstrated capability in managing multiple concurrent projects, events, and strategic initiatives.

  • Strong interpersonal skills, with the ability to liaise effectively with a range of stakeholders.

  • Flexibility to work occasional evenings and weekends, aligned with PJM's event schedule.

  • Ability to maintain confidentiality of information related to the company and its employees

  • A committed follower of Jesus, involved in a bible-believing evangelical church, with a passion for integrating faith into professional service.
